Booking Terms & Conditions

The Quotation:

The quote which you have received is based on the dates, location and number of people we have been asked to quote for. Until a booking has been secured with a deposit this rate may fluctuate due to the availability of bedrooms at your destination and/or the number of people you finally book for which may affect the price of some activities.

Deposit & Payment Requirements:

Upon booking, a deposit of 2 person’s payments or the outlined deposit relevant to the accommodation being booked must be paid into our bank account within 7 working days.

You can pay by Visa/ Debit Card over the phone;  a 2.5% Surcharge applies to use this facility.

Credit Card can be accepted through Paypal;  a 4% Surcharge applies, as imposed by Paypal.  You must request a Paypal invoice from us and pay through the link we email to you.

Until the initial deposit is secured no booking is guaranteed.

Upon receipt of the initial deposit, it is understood that you have thoroughly read the Terms and Conditions of Booking and agree to them.

The group leader is in charge of collecting all monies from each member of the party. Individual payments cannot be made to us.

The final balance can be paid in full at any stage but it must be paid in full 21 days prior to the Event date or the date spercidic to tge accommodation booked. Each payment must be paid into our bank account quoting the reference number provided to you on your confirmation letter.

If the booking is made less than 21 days prior to the event date as shown on your booking form, the full payment must be made in 1 installment upon booking.

Cancellation Policy:

A cancellation of a booking must be made in writing by the group leader. It is the group leader’s responsibility to ensure that we have received this cancellation. All deposits are non-refundable.

In the event that a member of the group were to cancel and another member is available to take their place, then the payment is transferable.If there is no-one available to take their place, their payment is non refundable.

Refunds will not apply in the following circumstances; war or threat of war, riots, civil unrest, terrorism, industrial disputes, natural or nuclear disaster, technical problems, Acts of God, or any other occurrence beyond our control.

Terms of Bookings:

The Group Leader is the person making the booking.

The Group Leader is responsible for all guests in the group.

The Group Leader must ensure that all guests are above 18 years of age.

(Please note that some nightclubs have an over 23 policy so please inform us if anyone is under 23)

All dates and times of activities must be agreed by the group leader at the time of booking. The timing of the activities does depend on the availability of the suppliers and so the times are not guaranteed until the written confirmation is sent by Belles & Blazers.

The dates and time of activities and accommodation will be confirmed to the group leader upon receipt of the initial deposit of 2 peoples full amount.

Any changes required are to be made in writing and as soon as possible.

Although we will endeavor to accommodate any changes to these schedules it cannot be guaranteed.

Belles and Blazers is a 3rd Party booking agent only in respect of all bookings we take or make on your behalf.

We accept no liability in relation to any contract you enter into or for any accommodation and/or transfers (“arrangements”) that you book.

Belles and Blazers does not accept any responsibility for the acts or omissions of any accommodation, transfer, activity providers or any other person connected with the arrangements for your group. Our responsibility rests at booking.

Health & Safety:

Belles & Blazers is a 3rd party booking agent – we do not take any responsibility for your personal safety. Belles & Blazers recommends that each person takes out appropriate travel insurance, which will cover them in the event of personal accident, medical expenses, loss of any monies and the participation in dangerous sports.

Minimum Numbers:

Hotels – No minimum numbers when booking a hotel package

Apartments (Athlone) – Minimum of 4 people required when booking this package

Glamping – Minimum of 4 people required for all glamping packages

Self Catering House One (Carrick-on-Shannon) – Minimum of 10 people required

Self Catering House Two & Three (Carrick-on-Shannon) – Minimum of 15 people required

Apartment One (Carrick-on-Shannon) – Minimum of 4 people required

Apartment Two (Carrick-on-Shannon) – Minimum of 15 people required

Apartment Three Carrick-on-Shannon – Minimum of 5 people required

Guest House (Carrick-on-Shannon) – No minimum numbers required

Pre-Authorisation upon Check in:

You may be asked to provide a pre-authorisation on a credit card or a cash deposit upon check in to accommodation providers; this is a policy of the hotel and is to ensure that any charges or breakages will be settled by you. Belles & Blazers does not take any responsibility for this. We will do our best to give you prior notice where this might happen.

Anti-Social Behaviour:

Please note that the accommodation & activities that you partake in are also being used by other patrons. All suppliers and accommodation have the right to terminate your stay or activity if they feel that your group or part of your group’s behaviour is threatening, violent or any other behaviour deemed inappropriate by them. If this situation was to arise the group may be asked to leave & would not be entitled to a refund of any kind.

Checking Into a Hotel:

All hotels have different check-in times & you will be notified in your itinerary of the time applicable to you.


Upon receipt of your final payment 21 days prior to arrival you will be sent an itinerary with all details of your accommodation, activities and transfer times if applicable. The timing of all activities, meals & transfers MUST be adhered to.

In the event that you cannot join an activity, are delayed in taking part or miss a transfer due to timing, Belles & Blazers does not take any responsibility and no monies will be refunded for this loss of activity or transfer.

Acceptance of the above Terms and Conditions is implied when making a booking and this constitutes the limit of our liability.
